      Historique

      The groundwork leading to the establishment of the Faculty of Medicine Founders' Archive began in 1985 when discussions between interested Faculty members, the University Librarian and archival advisors led to the formation of a Faculty of Medicine Archive Committee which began investigating the possibility of forming an archival repository for the medical school. This initial interest came to the forefront again almost fifteen years later with the formation of a new Archive Advisory Committee, which actively pursued the development of a repository for the Faculty of Medicine within the Health Sciences Library. The Archive became a reality, when on July 13, 1999, a contractual Archivist was hired to begin collecting and caring for archival material related to the history of the Faculty of Medicine at Memorial.
      The official opening of the Faculty of Medicine Founders' Archive was held on Wednesday, April 5, 2000 at 10:00 a.m. in the Kenneth B. Roberts Historical Collection room in the Health Sciences Library.

      The Faculty of Medicine Founders' Archive exists to:

      1. Collect and provide access to archival material relevant to the founding and operations of the Faculty of Medicine of Memorial University of Newfoundland and to the role played by the Faculty of Medicine in the evolution of health care in the province of Newfoundland and Labrador. The archive also collects research material relating to projects carried out within the Faculty of Medicine. As well, the archive collects material of physicians and surgeons in the province. It will not collect material relating to other Memorial University health sciences schools or other health organizations except where formal arrangements to do so have been made with the organization;
      2. Arrange and describe these materials according to acceptable, current archival principles and make them accessible to staff, faculty, students and the general public, unless otherwise restricted by legal requirements or written agreements with the donor(s);
      3. Provide adequate and appropriate environmental and storage conditions for the material.

      Structure administrative

      The Faculty of Medicine Founders' Archive is a special collection of the Health Sciences Library. The Health Sciences Library is responsible for the operation and development of the archive. An Archive Advisory Committee exists to advise the Associate University Librarian (Health Sciences) and the Dean of Medicine on issues related to the archive.

      The Founders' Archive will collect and provide access to archival material relevant to the founding and operations of the Faculty of Medicine of Memorial University of Newfoundland and to the role played by the Faculty of Medicine in the evolution of health care in the province of Newfoundland and Labrador. The archive also collects research material relating to projects carried out within the Faculty of Medicine. As well, the archive collects material of physicians and surgeons in the province. It will not collect material relating to other Memorial University health sciences schools or other health organizations except where formal arrangements to do so have been made with the organization;.
      Material relevant to the founding and operations of the Faculty of Medicine includes personal papers of Deans, Faculty and Staff, minutes of committees, reports of task forces, policies and procedures, teaching material, research material, annual reports, legal agreements, records of assets, and other material which represents the development and growth of the faculty. Material relevant to the role played by the Faculty of Medicine in the evolution of health care in the province includes material from individuals and organizations operating within the Faculty in various capacities or as a unit supervised by the Faculty.
      Books, published materials and artefacts are generally not acquired by the Archive unless there are special or compelling reasons for them to accompany acquired archival records. In some instances, The Founders' Archive may transfer such items to the Health Sciences Library or the K.B. Roberts Historical Collection or vice versa as applicable.
      Acceptance of materials from donors to the archives is subject to conditions as defined by the Donor Agreement.
      The Faculty of Medicine Founders' Archive will not accept material which, by legislated mandate, falls under the auspices or jurisdiction of another accredited archival repository. This includes general materials relating to the evolution of health care in the province and materials relating to other Memorial University health sciences schools or other health organizations, except where formal arrangements to do so have been made with the organization.

      The Archive's textual holdings include:

      • Biographical and information files on faculty, provincial health care, etc;
      • Personal paper collections of faculty and health care personnel;
      • Institutional record groups containing historical & contemporary records.

      The Archive's visual holdings include:

      • Architectural drawings and blueprints of facilities, campus, etc;
      • Photographs and visual material of faculty, facilities, construction, etc.

      Instruments de recherche, guides et publications

      Finding aids have been created for all processed materials in the Faculty of Medicine Founders' Archive and are available for use in the Kenneth B. Roberts Historical Collection room. They are intended to help the researcher locate and identify materials for research purposes.

      The finding aids contain complete item lists for each collection, as well as additonal information such as biographical or administrative histories, extent of collections, custodial histories, etc.

      The Faculty of Medicine Founders' Archive is open to the public from 9:00 a.m. to 4:00 p.m., by appointment, Monday - Friday, excluding holidays.. Inquiries may be made to the Archivist by telephone, fax, mail, email or visiting the Archive. Access to materials, which are viewed in the Archive's reading room, Health Sciences Library, is arranged by appointment. No material may be removed from the Archive.

      Upon arrival at the Archive, the researcher will be required to complete a registration form and describe the nature of the research interest.

      The majority of the holdings of the Archive are available for research. However, certain categories of documentation carry restrictions on access. These categories include, but are not limited to, the following types of documentation:
      Patient records;
      Personnel and student records;
      Records of research subjects;
      Confidential committee records.

      Records in restricted categories may be made accessible for research when legal, regulatory and ethical conditions permit.

      Photocopying services are available with the assistance of the Archivist. There is a charge for this service. Copyright regulations apply to all material held in the Archive. It is the responsibility of the user to obtain permission from the copyright holder in order to reproduce material in any form.
